About the Role
This role exists to create clarity, consistency, and momentum across the studio.
As our Online Business Manager, you'll act as the connective tissue between client experience, project management, systems, and team operations. You'll help ensure projects move forward smoothly, communication stays proactive, and the business runs with calm structure behind the scenes.
You'll work closely with Greer as a trusted operational partner, helping transform ideas into action and ensuring priorities don't get lost in day-to-day execution.
This is not an administrative assistant role. We're looking for someone who takes ownership, proactively identifies solutions, and enjoys creating structure within a growing creative business.
We already have established systems, workflows, and SOPs in place. While we welcome ideas and recommendations, we value thoughtful improvement over constant reinvention. The ideal candidate is someone who can work within existing structures, identify opportunities for refinement, and collaborate on meaningful improvements as the business evolves.

Roles & Responsibilities:
Client Experience
Manage client onboarding, offboarding, and ongoing communication.
Send client updates, reminders, next steps, and weekly correspondence as needed.
Help create a smooth, organized, and exceptional client experience throughout each project.
Monitor client milestones, renewal opportunities, and follow-up touchpoints.
Act as a primary point of contact for operational and administrative client inquiries.
Project Management
Monitor project progress, priorities, and timelines in Airtable and ClickUp.
Support team coordination and follow up on action items to ensure projects continue moving forward.
Help identify bottlenecks, potential delays, or areas requiring additional support.
Maintain visibility across all active client projects and ensure nothing slips through the cracks.
Support project planning, scheduling, and capacity coordination as needed.
Operations & Systems
Manage internal files, documentation, and storage systems.
Maintain, document, and thoughtfully refine internal SOPs and workflows as the business evolves.
Identify opportunities to improve efficiency, organization, and team communication while maintaining simplicity and sustainability.
Support basic marketing execution, including newsletters, content scheduling, and funnel implementation.
Assist with systems setup for select client projects (Flodesk, booking tools, forms, automations, etc.).
Help maintain and organize company platforms, software, and operational systems.
CEO Support
Attend weekly team meetings (Wednesdays at 10:00 AM CST).
Prepare invoices, follow up on payments, and flag financial items requiring CEO attention.
Prepare proposals, agreements, and onboarding materials for prospective clients.
Support launches, virtual events, workshops, and occasional in-person experiences as needed.
Assist with implementing strategic initiatives and special projects.
Help protect the CEO's time by ensuring priorities, follow-ups, and operational details are managed proactively.
Bonus skills:
Design, branding, marketing, or creative industry experience is a HUGE asset.
Experience working within a service-based business, agency, consultancy, or creative studio.
Experience with Airtable, HoneyBook, ClickUp, Notion, Flodesk, or similar operational platforms.
Strong systems-thinking mindset with a passion for creating structure and clarity.
